Electronic Submission: For the convenience of all, B411 will accept submission of agreements by facsimile or email. All parties agree that signed copies of this agreement by transmission of such means will have the same force and effect as original signatures for said purposes.
Payment/Cancellation Policy: All exhibitors must pay for show in advance. On Early Bird special pricing, payment is due in full at signature. Regular pricing requires a deposit of 50% at signature with the remaining balance due 30 days later, unless prior arrangement has been made and noted. All exhibitors reserving space less than ninety (90) days prior to show must pay full amount due at signature. All exhibitors and show sponsors are non-cancellable at any time and are responsible for full payment of said space. Exhibitors who do not occupy their assigned space are still responsible for payment in full.
Booth Assignment: Booths are assigned on a first come, first served basis. The B411 tries to accommodate vendor request(s) by booth or area depending on availability, however, the B411 reserves the right to reassign and/or make alterations to floor plan/booth assignment as needed. Exhibitor agrees not to hold B411 responsible for any such changes.
Liability: The exhibitor agrees to be entirely responsible for their occupied space and releases liability from the B411, Owner, Exhibition Hall Facility, and city against all claims, losses, suits, damages, judgments, expenses, costs and charges of every kind resulting from its occupancy. All displays are at exhibitors expense and are at exhibitors own risk.
Insurance: The B411 may require Certificate of Workers’ Compensations and Public Liability 90 days prior to show.
Conduct: The B411 expects all exhibitors and their agents to conduct themselves in a professional and courteous manner.
Safety: All exhibitors must follow all fire and safety rules and regulations. All cloth décor must be fire resistant.
Merchandise: All exhibitors must notify B411 of products to be displays. Any exhibitor wishing to distribute samples of any edible items must obtain permission from B411 and give B411 a list of items to be distributed at least ninety (90) days prior to show. Exhibitors must remove all merchandise immediately after show closing and not before. Merchandise not removed becomes the property of B411 for disposal and an additional charge of $250 will be assessed.
Default/Emergency: If exhibitor defaults on any of company’s obligations or rules, agreement may be terminated without notice by the B411 and the B411 may retain all monies without further obligation to exhibitor. In the event of show cancellation/rescheduling due to any emergency (i.e.: acts of God, damaging storms, fire, declaration of a national emergency) arising prior to show, it is understood that B411 may retain as much payment necessary to cover expenses up to time of such emergency.
Agreement: Exhibitor and all its employees, agents and representatives agree to abide by foregoing rules and by any amendments that may be put into effect by B411. Exhibitor agrees that B411 may list exhibitor in show promotional materials and use photography and/or video taken at the show for publicity purposes without compensation to exhibitor.
I, the authorized representative for the exhibitor, agree to the above terms and conditions as well as those conditions set forth in the “Show Rules and Regulations”. I agree that a registration transmitted by fax or email is as valid as an original.
